The per-student rate is genuinely “turn up and play”. It covers:

How to budget: a worked example

Take a 150-pupil sports day at roughly Rs 500 per student: that’s about Rs 75,000 for the fully-facilitated day. Against that, your school earns around 18 free teacher places (one per 8 pupils), so supervising staff attend at no extra cost. Add transport and any catering on top, and you have a complete budget before you’ve even enquired.

When to run it

Sports days sit best in Terms 2 and 3 — July is the moment to lock in a Term-3 date. Wind competitive senior-grade events down before the exam blackout, which runs from about mid-September to late November. Outdoor dates in the cyclone season (1 November–15 May) should carry an indoor-game fallback.
